What Fireflies does

Who it’s for: Teams that want to keep a full record of their meetings and send it to their tools: salespeople, recruiters, project managers.

The bot that joins the meeting

“Fireflies.ai Notetaker” enters the video meeting as a participant, visible to everyone. It records the audio, recognizes who is speaking, and keeps the recording so you can listen again.

Take notes without a bot

The desktop app listens to your device’s audio. No one extra appears in the meeting. You get the text and the summary, but no audio or video file, and no name for who is speaking.

Summary and action items

After each meeting, Fireflies writes an overview, the points covered, and the action items. You can ask for a format suited to your job, for example a sales qualification framework.

What the free plan includes

Transcription of your meetings and a limited number of summaries. Storage is capped at 400 minutes in total, not per month: once it is full, you have to delete old meetings. No video, no downloading of transcripts.

Nova’s advice

Start with the free plan to judge the quality on your own meetings. The 400 minutes go fast: 6 hours 40 minutes of meetings. If you use it every week, the Pro plan billed yearly is the right tier. For a whole team, ask your employer for Business.

What it does less well

  • The bot is one more participant, visible to everyone. Some people are wary of it, and Google Meet may flag it as a “risky” participant before letting it in.
  • If you let the bot join all your meetings, it also enters those where it has no business. Set this up on day one.

  1. Tell the participants that the meeting will be recorded and transcribed, and check that no one objects.
  2. On the Fireflies home page, click “Capture” at the top right, then “Add to live meeting.”
  3. Give it a title, paste the video meeting link, choose the meeting language, then click “Start Capturing.”
  4. The bot arrives within two to three minutes under the name “Fireflies.ai Notetaker.” Admit it if it is in the waiting room.
  5. After the meeting, open it in Fireflies: you will find the summary, the action items, and the full text.
  6. Click the “AskFred” button, in the panel to the right of the text, and paste the prompt below.

Write a follow-up email for the participants: the decisions made, then the action items with an owner and a date. Friendly tone, ten lines at most.
