Learn Gemini with Gmail, Drive, and Calendar

Gemini is Google’s assistant: you write or talk to it in plain language, and it drafts, summarizes, searches the web, creates images, and reads your files. Its strength at work: if you allow it, it searches your Gmail messages, your Drive files, and your calendar. To learn, start for free on gemini.google.com, or with your company’s Google Workspace account if it has one.
Where to start
- Open gemini.google.com and log in. At work, use the account your company provides: your data is better protected there.
- Connect your apps. Open the settings at the bottom of the screen, then the page that lists connected apps: turn on Gmail, Google Drive, and Google Calendar. You can turn them off at any time.
- Make a useful first try. Type @, choose Gmail, and write: “Summarize the emails I received this week about the quote in progress. List what is expected of me, with the dates.”
- Review before you send anything: Gemini can get a name or a date wrong.
A precise prompt makes the difference: state the context, the reader, the expected result, and the format.
What Gemini can do at work
- Ask questions of Gmail, Drive, and Calendar. “Find the last quote our carrier sent and give me the amount.” You choose which apps it can read.
- Work inside Gmail, Docs, Sheets, and Meet. Summarize a long thread, draft a reply, help in a document. This requires a Google AI subscription or a Google Workspace plan that includes it.
- Deep Research. You ask an in-depth question: Gemini runs the research on the web and returns a report with its sources.
- Canvas. A document opens next to the conversation; you have one passage reworked without rewriting everything.
- Gemini Live. A spoken conversation, in the mobile app.
- Create and edit images. You describe the image, then ask for an edit in one sentence.

Prices checked for France on October 3, 2026, in euros. Google’s page does not say whether they include tax. Prices differ by country: check Google’s page for yours.
Our advice: start for free. If your company is on Google Workspace, Gemini is already included: log in with your work account and pay nothing out of pocket.
Your data: the setting to know
- Personal account. Activity is kept for 18 months by default. It can be used to improve Google’s AI, and some conversations are reviewed by people. Google itself advises against entering anything confidential.
- “Keep Activity.” If you turn this setting off, your conversations are kept for only 72 hours and are no longer used for training. In return, on the website and on iPhone, connected apps stop working.
- Google Workspace account. Google says your content stays within your organization, is not reviewed by people, and is not used to train the AI without permission.
The conclusion is simple: for work, use the company account. The other habits are in AI and GDPR at work.
Its limits
- It can be confidently wrong about a figure, a date, or a name. Check before you send, especially when it summarizes your emails.
- Gemini in Docs, Sheets, and Meet is not in the free plan.
- Google does not publish the number of requests per plan: only “2 times” or “4 times” the free limits.

Is Gemini free?
Yes, there is a free plan: chat, images, Deep Research, Gemini Live, and Canvas, with usage limits. The first paid plan, Google AI Plus, costs €4.99 per month in France (price checked on October 3, 2026).
My company is on Google Workspace: do I have to pay for Gemini?
No. Gemini is included in Google Workspace plans, with limited access on Business Starter and extended access from Business Standard up. Sign in with your work account.
Does Gemini read my emails?
Only if you turn on Gmail in the connected apps settings. You choose which apps it can read, and you can turn them off at any time.
Are my conversations used to train the AI?
With a personal account, they can be, unless you turn off “Keep Activity.” With a Google Workspace account, Google says your content is not used to train the AI without permission.
Gemini or Copilot?
