Always do this

  • A decision summary commits the people named in it. Review every decision, every owner, and every due date before you send it out: the tool can assign an action to the wrong person.
  • A schedule that comes out of an assistant is a proposal. Durations, dependencies, and availability are confirmed with the people who do the work.
  • The contract, the budget, and the client’s documents stay in the tools your company has approved. Check the confidentiality clause before you add one to an assistant.
  • Tell participants before you use automatic note-taking, internally as well as at the client’s.

Never hand this to AI

  • Having AI settle a scope, budget, or timeline trade-off: that is the steering committee’s role.
  • Sharing a completion rate calculated by an assistant without comparing it with what the team says.
  • Judging a team member’s work from the meeting notes or the list of late tasks.
