Write a job description with AI, without legal slips
Updated October 23, 2026 · 7 min read
Give the AI the manager’s notes and the outline of the document, and it writes a first draft in seconds. Ask for two separate lists, must-haves and nice-to-haves, forbid it from inventing a salary or a perk, then have the manager review it. For a public posting, also have it check for mentions that are banned by law: age, sex, origin, place of residence.
Job description or job posting: what the AI writes
The two documents look alike but do different jobs. The job description stays inside the company: duties, reporting line, skills, conditions. The job posting is the public ad, written to attract a candidate and to be found in search. The AI writes both from the same notes.
- Put in order ten loose lines of wishes from a manager.
- Turn internal jargon into sentences a candidate understands.
- Separate must-haves from nice-to-haves, which almost everyone mixes up.
- Write five concrete duties instead of “contribute to the development of…”.
- Make several versions: the internal description, the ad, a short message for social networks.
What it cannot know: the real need behind the role, the salary you can offer, your company agreements, what the manager wants but never said. A well-written description of a misunderstood need is still a bad description.
Write a job description in five steps
- Gather the material. The manager’s notes, the old description if there is one, and three tasks from a typical week, told by someone who already does the job. This is what prevents generic text.
- Give the outline. The role in three sentences, five duties, the must-have skills, the nice-to-haves, the conditions, the hiring steps. Without an outline, the AI picks its own.
- Ask for two separate lists. “Must-haves, four criteria at most” and “nice to have”. Every extra criterion screens out people who would have fit.
- Forbid inventions. Write: “Do not invent a salary, a perk or a tool. If information is missing, ask me first.” A perk promised in an ad commits you.
- Have it reviewed twice. By the manager for substance, then by someone who does the job: they spot the duty that does not exist right away.
The prompt to copy
You are helping a recruiter write a job description. From the notes below, write the description for a [job title] role, [contract type], based in [city]. Outline: the role in three sentences; five concrete duties; the must-have skills, four at most; the nice-to-haves; the conditions I give you; the hiring steps. Simple, direct tone, no clichés. Do not invent a salary, a perk or a tool. If information is missing, ask me first. Notes: [paste the manager’s notes].
Paste the manager’s notes, not data about people. To improve the prompt itself, see how to write a good prompt.
What a job posting may not say
An AI has read millions of ads, many from other countries. It repeats their habits, including some that are banned in France. The legal guidance from Pôle emploi (now France Travail), February 2022 edition, in French, reminds employers in particular that:
- No discriminatory mention: sex, age, origin and health status are not to be mentioned (articles L.1132-1 and L.1142-1 of the French Labor Code).
- No age limit. Only “entry-level” or “experienced” are accepted. A phrase like “young and dynamic” can suggest an age: remove it.
- No imposed place of residence (article L.1133-5).
- No requirement of a clean criminal record, and no driver’s license unless the job justifies it.
- No fees charged to the candidate, and no posting that matches no real need.
- A dated posting written in French, naming the employer. If a salary appears, it cannot be below the legal minimum wage.
These rules carry criminal penalties. After drafting, ask the AI to check its own text:
Review this job posting. Flag any wording that refers to age, sex, origin, family situation, health status or place of residence, and any requirement unrelated to the job. Suggest neutral wording for each.
This check catches the common cases, not all of them. The summary above dates from 2022 and is not legal advice: for a sensitive posting, have your legal or HR team review it. If you hire outside France, check the rules of your country.
Which assistant to use for a job description
Any chat assistant can write one. The right choice is often the one already in your tools. Plans read from Nova’s tool pages, checked between October 19 and 23, 2026 on the publishers’ pages.
| Tool | For a job description | Free or price |
|---|---|---|
| ChatGPT | You paste the notes, attach the old description, ask for edits one by one | Unlimited written conversations, files with a limit |
| Claude | You attach the old description and rework it; a project keeps your instructions for the next role | Free, 5 projects at most; Pro, $20 per month |
| Gemini | In Google Docs, to write inside the document itself | Free in the app; in Docs, Google AI Pro, €21.99 per month in France |
| Copilot | In Word, to write and rephrase without leaving the document | Microsoft 365 Personal, €10 per month in France, for personal use; at work, depends on your Microsoft 365 plan |
To start, the free versions of ChatGPT or Claude are enough. If your company has Gemini or Copilot, the assistant built into the document saves the copy and paste.
Candidates do not go in the prompt
A job description needs no personal data. Keep it that way. A résumé holds a name, an address, a career: pasting it into a consumer assistant hands over the data of someone who did not ask for that.
- For the description and the posting: the manager’s notes, the title, the duties. Nothing else.
- For applications: first check what your company allows. The guide on what not to share with an AI and the one on AI and GDPR at work tell you where to start.
- For the decision: the AI does not choose a candidate. It prepares, you decide.

Frequently asked questions
What is the difference between a job description and a job posting?
The job description is an internal document: duties, reporting line, skills, conditions. The job posting is the public ad, shorter and written for the candidate. You start from the description to write the posting. The AI can do both from the same notes.
Can ChatGPT write a job description?
Yes, and the free version is enough to start. Paste the manager’s notes, give the outline you want and tell it not to invent anything. Always review: the salary, perks and tools it mentions must come from you, not from the AI.
What is banned in a job posting in France?
Any discriminatory mention (sex, age, origin, health status), any age limit, an imposed place of residence, a clean criminal record required without a link to the job, fees charged to the candidate. According to the February 2022 Pôle emploi guidance, these rules carry criminal penalties.
Do you have to state the salary in a job posting?
The France Travail document we cite only says that, if a salary appears in the posting, it cannot be below the legal minimum wage. Pay transparency rules may change: check with your legal or HR team.
Can you paste résumés into ChatGPT to sort them?
We advise against it with a consumer assistant: a résumé contains personal data. First see what your company allows, and keep the decision human. To write the description, no data about a person is needed.
