AI training for freight dispatchers

AI doesn’t replace the phone or the schedule. It writes the message to the customer when a truck is running late, gets answers out of your route exports, translates instructions for a foreign driver, and finds a site’s delivery rule. Load assignment and driving times stay with you.

Claude for freight dispatchers: warn a customer about a late delivery, step by step

  • 3 min
  • every day

What to check

The time you give commits you: confirm it with the driver, taking their driving and rest times into account. No customer name or delivery address in a free account.

Warn a customer about a late deliveryClaude
  1. Open claude.ai or the Claude app.
  2. Paste the prompt below and replace what is in brackets. Refer to the customer by a code if you are using a personal account.
  3. Ask for a variant in one sentence: “short version for a text to the receiver,” “version in Spanish.”
  4. Confirm the new time with the driver, then send the message yourself.

The prompt to copy

You are a dispatcher at a trucking company. Write a short message to warn [the shipper, the receiver] about a delay. Shipment: [reference], [number of pallets] from [origin city] to [destination city], delivery scheduled for [date] at [time]. Cause: [breakdown, accident on the route, wait at loading]. New estimated time: [time], to be confirmed at [time]. Give the new time first, then the cause in one sentence, then what we are doing: [second vehicle, delivery tomorrow at opening]. Ask whether the site can still receive at that time. Factual, courteous tone, five lines at most. Don’t admit any liability and don’t promise any compensation.

Ground rules

The rules to follow with AI in this job

Always do this

  • Driving and rest times, weights, hazardous materials: the regulations and the tachograph data are what count. No assistant’s answer justifies an assignment.
  • A stated time, a price, or a reply to a claim commits you: confirm with the driver, reread, and get approval for anything that touches compensation.
  • Customer names, rates, delivery addresses, and driver data (GPS location, hours) are sensitive: company workspace, or codes in place of names.
  • A traffic rule is read on the official page, as of its date. For hazardous materials, the dangerous goods safety adviser confirms.

Never hand this to AI

  • Having an assistant build the routes or calculate driving times: that is the job of your transportation software and the tachograph.
  • Uploading a named driver’s activity or GPS records to a free tool.
  • Admitting liability or promising compensation in a message written by AI, without approval.
