What to check

The notebook knows only the versions you put in it: replace a document as soon as it is revised. Check your company’s rule before importing procedures, and prefer a professional Google Workspace account.

Find a requirement in our proceduresGemini Notebook · A “Procedures” notebook
  1. Open Gemini Notebook, create a “Procedures” notebook, and import the quality manual, the procedures, and the work instructions in scope: 50 sources per notebook on the free plan.
  2. In the “Chat” panel, ask your question with the prompt below.
  3. Click the number shown in the answer: the paragraph opens in the procedure.
  4. If two documents contradict each other, note it: that is a document update to start.

The prompt to copy

Using only the documents in this notebook, answer this question: [question, for example “who approves the first piece after a changeover, and where is it recorded?”]. Give the answer in three sentences, then cite the document, its version, and the paragraph it rests on. If several documents cover the topic, say what each one says and flag the contradictions. If no document answers, say so clearly: it may be a gap in our system.

Ground rules

The rules to follow with AI in this job

Always do this

  • AI proves no compliance. An audit, a risk assessment, or a product release rests on facts verified on the floor and on your signature.
  • Regulations and standards are read at the source. A summary can leave out a requirement or get a date of application wrong.
  • Confidentiality: drawings, customer part numbers, processes, and manufacturing data stay in the company workspace. In a consumer tool, facts with no names.
  • Workplace accidents and occupational illnesses: no names and no health data in an assistant. The analysis is carried out with the people concerned and the works council (the CSE in France).

Never hand this to AI

  • Deciding whether a product, a lot, or a facility is compliant.
  • Writing a safety instruction or rating a risk without validation on the floor.
  • Copying the text of a purchased standard into a tool: its license generally does not allow it.
