AI training for logistics managers

AI does not unload a truck. It makes sense of your inventory and delivery exports, drafts a claim, reviews a carrier contract, and translates a shipping document. The orders and the dock’s priorities stay yours.

Claude for logistics managers: write a claim to the carrier, step by step

  • 10 min
  • every week

What to check

The deadlines for confirming exceptions are short and vary by contract and mode of transport: check them in the contract or with your in-house counsel. The claim commits the company: reread the amounts.

Write a claim to the carrierClaude · Photos and documents attached, in the conversation
  1. Gather the documents: the bill of lading with the exceptions noted, photos of the damage, the delivery receipt, the invoice for the goods.
  2. In Claude, click the + button at the bottom left of the message box, then “Add files or photos,” and attach them.
  3. Paste the prompt below and fill in what is in brackets.
  4. Check the claim deadline and format set out in the contract, then send it yourself, by certified mail if the contract requires it.

The prompt to copy

You are a logistics manager. Write a claim to the carrier for [damage, a delay, a missing package] on shipment [bill of lading number], delivered on [date] in [city]. Facts: [exceptions noted at delivery, quantities affected, value of the goods]. Lay out the facts in order, cite the attachments one by one, put a figure on the loss, and ask for [compensation, a credit] within [15 days]. Firm and courteous tone, one page. Do not cite any statute or legal deadline on your own: write [deadline to check in the contract] where it belongs. At the end, list the documents missing from the file.

Ground rules

The rules to follow with AI in this job

Always do this

  • An order quantity, a service level, or an inventory value produced by an assistant gets recalculated on a few SKUs you know, before any decision.
  • Your freight rates, your volumes, and your customer list are sensitive information. Use the company’s team workspace, or replace names with codes before you upload a file.
  • Customs, hazardous materials, warehouse safety: AI helps you find the text. It replaces neither the official text, nor the freight forwarder, nor the dangerous goods safety advisor.
  • A claim follows deadlines and a set format. Reread it, then send it yourself as the contract provides.

Never hand this to AI

  • Letting a tool place an order or change a reorder point without your approval.
  • Classifying hazardous goods or choosing a customs code based solely on an assistant’s answer.
  • Uploading a delivery file with your customers’ names and addresses to a free tool.
