Claude for after-sales service managers: tell a customer a claim is denied, step by step

  • 5 min
  • every day

What to check

Remove the name, the address, and the serial number before you paste the message, or work in the company’s Team workspace. The denial is decided on the diagnosis and on your terms, not on the assistant’s opinion.

Tell a customer a claim is deniedClaude
  1. Write down the reason for the denial and what you can offer instead: a repair quote, a discount on a new product, a trade-in.
  2. In Claude, paste the prompt below, then the customer’s message, without their name or case number.
  3. Then ask for “shorter” or “less bureaucratic” until it sounds like you.
  4. Check that the reason really appears in your terms, put the case references back in, and send from your usual tool.

The prompt to copy

You are the after-sales service manager at [type of company]. I have to tell a customer that their failure is not covered. Reason: [out of warranty period, accidental damage, wear part, third-party repair]. What I can offer: [a repair quote at a given price, a discount on a new product, nothing]. Write a reply in three parts: what we found, in simple terms; why the warranty does not apply, with the rule cited; what we are offering, and how to accept it. Ten lines at most, a polite tone, no stock phrases and no promise I have not stated. Tell me if the customer’s message contains a formal notice or mentions a mediator. Message: [paste the message, without the name].

Ground rules

The rules to follow with AI in this job

Always do this

  • Cases contain personal data: name, address, phone number, sometimes the inside of a home in a photo. Remove them before you paste a case into an assistant, or work in the workspace approved by the company.
  • Coverage is decided on the diagnosis and on the texts: statutory warranty, manufacturer’s warranty, your terms. AI finds the rule, you decide and you sign the reply.
  • A technical or safety instruction never comes from an assistant: it is copied from the manufacturer’s documentation and confirmed in the workshop.
  • Every number reported to management or to the manufacturer is recounted in your cases before it is shared.

Never hand this to AI

  • Having an assistant make a remote diagnosis and presenting it to the customer as certain.
  • Letting AI grant or deny a warranty claim, an exchange, or a goodwill gesture on its own.
  • Pasting into a free assistant a case with a customer’s name, address, or invoice.
