AI training for medical secretaries

AI doesn’t answer the phone and doesn’t know any of your patients. It helps you type a dictated letter, write your templates, check a medical term, and prepare the practice’s signs. No patient name goes into an online assistant.

Claude for medical secretaries: write the practice’s letter templates, step by step

  • 20 min
  • as needed

What to check

The templates stay empty: the patient’s name and the date are entered in the practice software, never in the assistant. Have the doctor approve each template before it is first sent.

Write the practice’s letter templatesClaude · Word file, in the conversation
  1. List the letters you send most often: rescheduled appointment, reminder of the documents to bring, doctor’s absence, reminder for an invoice.
  2. In Claude, paste the prompt below, filled in. Do not put any patient name in it.
  3. Reread each template with the doctor, then ask: “Give me a Word file, one template per page.”
  4. Save the templates in your practice software or in Word: all that’s left is to fill in the fields.

The prompt to copy

You are helping me write letter templates for a medical front office, for [a general practice, a radiology practice, a hospital department]. Write a template for each of these situations: [an appointment rescheduled at the practice’s request, a reminder of the documents to bring, the doctor’s absence and the name of the covering doctor, a reminder for an unpaid invoice]. Courteous, simple tone, short sentences, ten lines at most per letter, no medical terms. Leave in capital letters the fields I will fill in: TITLE AND NAME, DATE, TIME, DOCTOR. Do not write any medical information: if a letter seems to call for some, flag it instead of making it up.

Ground rules

The rules to follow with AI in this job

Always do this

  • Professional secrecy binds you just as it binds the doctor: no name, no date of birth, no social security number, no report or prescription in a consumer assistant.
  • The doctor’s dictation is transcribed with a model that runs on your computer, not online, and the text goes into the practice software.
  • You prepare, the doctor reviews and signs: every medical letter and every instruction given to a patient goes through the doctor.
  • Before installing a tool or uploading a practice document to it, ask for the doctor’s or your manager’s approval.

Never hand this to AI

  • Asking it what a result means, whether a symptom is urgent, or which patient to see first: triage follows the doctor’s instructions.
  • Pasting a patient’s email, a scanned prescription, or a screenshot of the appointment book into an online tool.
  • Sending a letter typed from a dictation without the doctor’s review.
