Automate a task with AI: where to start

Updated October 27, 2026 · 7 min read

In brief

Pick a task that comes back, with a simple rule: “when this happens, do that.” Write it in one sentence, then let the AI in the automation tool (Zapier, Make, n8n or Power Automate) build the flow. Test it on a real case before turning it on: a badly set flow repeats its mistake every time it runs. If your company has Microsoft 365, Power Automate is already included for common uses.

What “automating with AI” means

An automation tool connects your apps: something happens (a form is filled in, an email arrives, a file is dropped) and actions follow on their own (a row in a spreadsheet, a Teams message, a confirmation email). AI helps in two places.

  • To build the flow. You describe the task in one sentence and the tool’s assistant lays out the steps. Power Automate does this with Copilot; Zapier and Make also have an assistant.
  • While the flow runs. A step can ask a model to summarize an email, sort a request or draft a reply.

It is not an agent that decides on its own. A flow does exactly what you set, every time. That is its strength (it never tires) and its risk (it never stops either). For tasks that need judgment, see AI agents at work.

Which task to automate first

A good first task comes back often, follows a rule you can write down, and does no harm if it goes wrong once. A few starting points:

  • When a form is filled in, add a row to the tracking spreadsheet and send a confirmation email.
  • When a file lands in a shared folder, notify the team in Teams.
  • When an email arrives from a customer, copy the useful details into a spreadsheet.

At the start, avoid anything that messages many people, touches money, or handles personal data when you do not know where it goes.

Automate a task in five steps

  1. Write the rule in one sentence. “When [event], then [action] in [tool].” If the sentence does not hold together, the task is not ready.
  2. List the information that moves. Which form field goes in which column, who gets the email, with what text. This is where mistakes hide.
  3. Build the flow. Give the sentence to the tool’s assistant, then read the trigger and every action before you save. Power Automate’s Copilot is optimized for English: in other languages it gets complicated requests wrong more often.
  4. Test on a real case, with your own address as the recipient. Check that each step did what it should.
  5. Watch the first week, then the usage. The tools count usage in different ways: look at what is consumed before you build more.

A prompt to plan the flow

I want to automate a task: when [event], [what should happen]. The tools I use are [list]. Ask me your questions first, one at a time. Then describe each step to set up in [Zapier, Make, n8n or Power Automate], the information that passes from one step to the next, and what could go wrong.

Paste it into ChatGPT or Claude before you open the automation tool: you arrive with a plan. To word it well, see how to ask an AI well.

Zapier, Make, n8n or Power Automate

All four do the same job. They differ in price, hosting and how technical they are. Prices come from our tool pages (Zapier and n8n on October 19, 2026; Make and Power Automate on October 12, 2026), taken from the vendors’ pages.

ToolBest forStarting priceGood to know
ZapierStarting fast, no technical skillsFree: 100 tasks a month, two steps per Zap. Professional: €26.77 a month for 750 tasksEvery successful action counts as a task. Data stored in the United States. English-only interface
MakeRicher scenarios at high volumeFree: 1,000 credits a month, 2 active scenarios. Core: $10.59 a month for 10,000 creditsEvery check costs a credit, even with nothing new. EU or US hosting, chosen when you create the workspace
n8nA technical team, or data that must stay with youSelf-hosted: free (Community edition). Online: 14-day trial, then Starter at €24 a monthThe most demanding of the four. Online, hosted in Frankfurt
Power AutomateA company on Microsoft 365Cloud flows with standard connectors: included in work Microsoft 365. Premium: €13.00 excl. tax per user per month“Premium” connectors need a license. The mobile app has not been supported since August 31, 2026

In practice: if your company has Microsoft 365, start with Power Automate. Otherwise start with Zapier or Make. Pick n8n only if someone can install and maintain it. For freer agents in the Microsoft world, see Copilot Studio.

The traps to know

  • The mistake that repeats. A badly set flow repeats its mistake every time it runs, for example an email sent to every customer. Hence the test on a real case.
  • The meter. In Zapier, a task is a successful action: a Zap with five actions that runs a hundred times uses 500. In Make, a check every 15 minutes spends 96 credits a day, even with nothing new.
  • The license you find out about halfway. In Power Automate, a “premium” connector or launching a desktop flow from the cloud needs a paid license.
  • Data access. Connecting an app gives the tool access to your data in that app. Connect a work account with your IT team’s approval, and connect only what you need.

Do not run data through a flow if you do not know where it goes. Read what not to give an AI and the page on AI and GDPR at work.

Nova is a subscription software that shows what these tools can do in your job. You will find up-to-date pages for Zapier, Make, n8n and Power Automate (plans, prices, date checked, what is English-only), and step-by-step demos with the prompt ready. See the interactive demo.

Frequently asked questions

Can you automate a task without knowing how to code?

Yes with Zapier, Make and Power Automate: you lay out steps on screen, and an assistant can build them from a sentence. n8n is the most demanding of the four: without someone technical beside you, start with Zapier or Make.

Zapier, Make or n8n: which one to choose?

Zapier to start fast, Make for richer scenarios at high volume, n8n if you want to install it yourself. With Microsoft 365, look at Power Automate first. Compare above all how they count: a task in Zapier, a credit in Make.

Is automation free?

To start, yes. Zapier and Make have a free plan (100 tasks a month and two steps for Zapier; 1,000 credits and 2 active scenarios for Make). n8n is free when you install it yourself but paid online after 14 days. Power Automate is included in Microsoft 365 for cloud flows with standard connectors.

Is my data safe in these tools?

It depends on the tool and the place you choose. Zapier stores data in the United States. In Make, hosting (EU or US) is chosen when you create the workspace and cannot change later. Online n8n is in Frankfurt, and self-hosted your data stays on your server. Read each tool’s page before you connect a work account.

Do you need your company’s approval?

Yes, as soon as you connect a work account or customer data. Connecting an app gives the tool access to your data in that app. Tell your IT team first.
