What to check

The aging report contains your customers’ names and outstanding balances. Use the company’s Business account, or turn off “Improve the model for everyone” in “Settings,” “Data controls.”

  1. Export the aging report from your accounting software, as an Excel file.
  2. In ChatGPT, in “Chat” mode, click the + button to the left of the message box, or drag the file into the window.
  3. Paste the prompt below, replacing what is in brackets.
  4. Review each message, check the amounts against the customer account, then send from your own email.

The prompt to copy

You are an accounts receivable accountant at a [small services company]. Here is the aging report as of [date]. For each customer with an overdue invoice, write a reminder email that cites the invoice number, the date, the amount, and the number of days overdue. Three tones depending on how late it is: a courteous reminder before [15 days], a firm request for a payment date between [15 and 45 days], and beyond that a final reminder before formal notice, with the late fees set out in [our terms of sale]. Always do this

  • Any number an assistant produces is recalculated on your own reports before it goes into the books or into a tax return.
  • Company data (customers, suppliers, payroll) goes in the work account your employer provides, not in a personal account.
  • AI suggests the coding, and you approve it. A posted entry remains your responsibility and your manager’s.
  • A tax rule is checked at the official source, as of today’s date.

Never hand this to AI

  • Approving a payment or changing bank details on the strength of an email or an assistant’s answer.
  • Filling in a tax return with amounts you have not recalculated.
  • Pasting a payroll file or bank account details into a free assistant.
