The rules to follow with AI in this job

Always do this

  • You see the most confidential things the company has: compensation, personnel files, plans to sell the business. None of that goes into a personal assistant account. Use the tools the company provides, or remove the names and amounts.
  • Nothing goes out in the executive’s name without a review. AI writes a draft, you review it, and anything that commits them, they approve.
  • A date, a time, a name, or an amount is copied from the source: the booking confirmation, the calendar, the document. Not from the assistant’s answer.
  • Tell participants before any automatic note-taking, and pause it when the topic becomes sensitive.

Never hand this to AI

  • Letting a tool make the calendar trade-offs: knowing who goes before whom is a matter of priorities and relationships that only you know.
  • Putting a board packet, an employment contract, or a document marked confidential into a free tool.
  • Sending a reply to a customer, a board member, or a journalist without reviewing it.
