Always do this

  • Personal data: names, addresses, family situations, personnel files. None of that in a free account. Use the tools your organization provides, or replace the names with brackets.
  • Everything that goes out on behalf of the department gets reread. A date, an amount, or a name is copied from the original document, not from the assistant’s answer.
  • You prepare; your manager approves and signs whatever commits the organization: a refusal, a commitment, an amount.
  • Before recording a meeting or uploading a document to a new tool, ask what your organization’s rule is.

Never hand this to AI

  • Uploading an ID document, a pay stub, a sick leave certificate, or a bank statement to an online tool without approval.
  • Pasting a password or an access code into an assistant.
  • Sending a reply to a complaint or a refusal letter without rereading it.
