AI training for construction managers

AI does not climb the scaffolding. It finds a clause in the contract documents, writes the meeting notes, the letter to the subcontractor, or the change order quote, and cleans up a schedule. The quantities, the prices, the safety, and the signature stay yours.

What to check

It only knows what you uploaded: check that the documents are the signed versions, amendments included. It works on text and reads drawings poorly. Contract documents are confidential: prefer the company account.

Find what the contract says (conditions, specs)Gemini Notebook · One notebook per project
  1. Open Gemini Notebook and create a notebook named after the project.
  2. In the “Sources” panel, click “Add” and upload the contract documents: contract conditions, specifications for your trade and the neighboring trades, contract schedule, meeting notes.
  3. In the “Chat” panel, paste the prompt below.
  4. Click each number to read the original clause before you use it with the architect.

The prompt to copy

Using only the documents in this notebook, answer this question about the project: [my question, for example: who is responsible for the openings in the concrete walls, the structural contractor or the plumbing contractor?]. Cite the document, the clause, and the page for each point, and copy the exact sentence. If two documents contradict each other, show both passages and state the order of precedence of the documents, if it is written in the contract conditions. Write “not found in the documents” when nothing answers. End with what the contract provides on [deadlines, penalties, change orders] in relation to my question.

Ground rules

The rules to follow with AI in this job

Always do this

  • Quote, pay application, letter, meeting notes: everything that goes out is binding on you and on the company. You check the quantities, prices, dates, and deadlines before sending.
  • The signed contract is what counts. An assistant’s answer leads you to the clause; it does not replace it: read the original document, amendments included.
  • Safety cannot be delegated: the site-specific safety plan (PPSPS in France), the prevention plan, the safety coordinator, and the manufacturers’ instructions come before any answer.
  • Contract documents, prices, and subcontractor bids are confidential: company workspace, or documents with no names and no amounts.

Never hand this to AI

  • Having an assistant calculate shoring, a load, rebar, or stability: that is the job of the engineering firm and the third-party inspector.
  • Sending a formal notice, a claim, or a statement of claim without review by management or legal.
  • Letting a tool set a price, a progress percentage, or a delivery date for you.
