What to check

A date written in the plan becomes a commitment: check it with the teams who will do the work. On a personal account, don’t include the customer’s name or its employees’ names.

Write a customer’s onboarding planClaude · Word file, in the conversation
  1. In Claude, paste the prompt below with your notes from the handoff meeting with the sales rep. Refer to the customer by its industry.
  2. Answer the questions it asks, then fix the steps that don’t match the way you work.
  3. Ask: “Give me this plan in a Word file, with the table of steps.”
  4. Review the dates and the owners, then send the plan to the customer before the kickoff meeting.

The prompt to copy

I am a customer success manager at [your company], which provides [your product or service]. A customer in [industry, size] has just signed for [plan, number of users]. Their goal, in their own words: [goal]. Their deadline: [date]. Write their onboarding plan over [eight] weeks: a table of steps (setup, data migration, training, first real use, first review), with, for each one, who does what on their side and ours, the date, and the concrete sign that shows the step is a success. Add the three usual risks of this kind of rollout and how to avoid them. Write simply, with no jargon, and first ask me the questions you need answered.

Ground rules

The rules to follow with AI in this job

Always do this

  • Your records, your meeting notes, and your usage exports contain personal data about your customers’ employees. Use the tools approved by the company and remove names before any test on a personal account.
  • Usage data says who logs in and when. With the customer, talk about teams and trends, never about a named person’s behavior.
  • Tell attendees and get their consent before any automatic note-taking in a meeting.
  • A date, an upcoming feature, or a discount written by AI commits you. Check them in the contract and with the teams involved before you send.

Never hand this to AI

  • Telling a customer about a feature or a delivery date that AI inferred from your documents.
  • Labeling a customer “at risk” and treating them that way without having talked to them.
  • Uploading an export of the CRM or usage data with names to a consumer tool.
