What to check

Recalculate the totals: an assistant can misread a line or a VAT rate. A quote is the vendor’s business document: at a company, use your company’s Claude workspace rather than a personal account.

Always do this

  • Guest list, dietary needs, allergies, accessibility needs: these are personal data. Collect only what is strictly necessary, say why, and delete it after the event.
  • Safety, venue capacity, permits: these points get confirmed with the venue, the safety officer, and the authorities, never with an assistant.
  • Recalculate every total before you sign a quote or present a budget: an assistant can misread a line or a VAT rate.
  • A wrong date, time, or address on an invitation is costly: a second person proofreads every piece before it is sent or printed.

Never hand this to AI

  • The named list of guests or expected VIPs in a consumer tool.
  • Signing a contract on the strength of an assistant’s reading of the quote alone.
  • Relying on an assistant for the safety plan, the capacity limits, or the permits.
