AI training for communications managers

AI does not speak for the company in your place. It prepares the material: the first draft of a press release, a press roundup, a profile drawn from an interview, a version in another language. You check, you get approval, then you publish.

What to check

Before it goes out, an announcement is confidential: work in the company’s Team or Enterprise workspace, not on a personal account. A quote attributed to an executive is approved with them, word for word.

Write a press releaseClaude · Word file, in the conversation
  1. In Claude, paste the prompt below with the facts and figures already approved.
  2. Read the list of what is missing and fill it in before going further.
  3. Ask for edits: “more factual headline,” “shorten the second paragraph.”
  4. Download the Word file, run it through Antidote, then get the text and the quote approved.

The prompt to copy

You are helping a communications manager write a press release. Announcement: [what is being announced, effective date]. Company: [business, size, city]. Approved facts and figures: [list]. Executive quote: [approved text, or “to be suggested”]. Write a one-page press release: an informative headline of twelve words at most, a lead paragraph that answers who, what, when, where, and why, three paragraphs from most important to least important, a quote, then “About” and the press contact. No superlatives, no figure that is not in what I gave you. Flag what a journalist will ask for that I have not provided. Give me a Word file.

Ground rules

The rules to follow with AI in this job

Always do this

  • Everything that goes out in the company’s name is approved by an authorized person: AI writes a first draft, never the published version.
  • A non-public announcement (earnings, reorganization, acquisition, incident) does not go into a consumer tool: company workspace only.
  • A quote is never made up: every sentence attributed to someone is approved by them, word for word.
  • Figures, dates, names, and job titles are checked at the source before publication.

Never hand this to AI

  • Crisis communications: whether to speak, when, and in what words is decided with leadership and the legal team.
  • Creating a photo, a voice, or a video of a real person without their written consent.
  • Personal information about employees or journalists, in a personal assistant.
