Claude for franchise owners: reply to customer reviews in the brand’s voice, step by step

  • 15 min
  • every week

What to check

Your reply is public and commits the brand: follow the network’s guidelines, and escalate to the franchisor any review that involves safety or health. Never give personal information about a customer in a reply.

Reply to customer reviews in the brand’s voiceClaude · “Projects”
  1. In Claude’s sidebar, click “Projects,” then “+ New project.” Name it “Customer reviews.”
  2. Under “Set project instructions,” paste your brand’s reply rules and three replies you have already posted.
  3. Every week, open a conversation in the project. Paste the prompt below, then the new reviews, without customer names.
  4. Review each reply, check the facts with your team, then post them one by one under the reviews.

The prompt to copy

Here are this week’s reviews of my location. For each one, write a reply of four lines at most, in the voice defined in this project. Say thank you without stock phrases. Pick up the specific fact the customer mentioned. For a negative review: acknowledge what can be acknowledged, promise nothing I have not approved, and offer to continue the conversation at [the location’s email address]. Never blame an employee or the network. Separately, for me, list the complaints that come up more than once and deserve a conversation with the team.

Ground rules

The rules to follow with AI in this job

Always do this

  • The operations manual, purchase prices, and the network’s methods are confidential know-how. Get the franchisor’s consent before uploading them to an online tool, and turn off training in the settings.
  • The brand is not yours. Any visual or text created with AI follows the network’s brand guidelines and goes through its approval when the contract requires it.
  • You are the employer. Your employees’ data (schedules, absences, pay) and your customers’ data do not go into an assistant under their real names.
  • The numbers you send to the franchisor, the bank, or your accountant come from your POS and your books, and you recalculate them.

Never hand this to AI

  • Signing a franchise agreement, a lease, or an amendment on the strength of an assistant’s reading alone: a franchise attorney must review it.
  • Letting AI decide on a hire, a disciplinary action, or a schedule without your oversight.
  • Having the brand’s logo redrawn or its slogans rewritten.
