The rules to follow with AI in this job

Always do this

  • You are responsible for what the firm writes and the meetings it calls: in France, a resolution, a majority, or a deadline is checked in the law of July 10, 1965, its decree, and the building’s bylaws, never in an assistant’s answer.
  • Unpaid fees, disputes, and owners’ contact details are personal data. Remove names and unit numbers before pasting text into an assistant, or work in the workspace your firm has approved.
  • Every amount comes from your management software or the original quote. AI formats; it doesn’t keep the condominium’s books.
  • Tell participants before any automated note-taking, at a condo board meeting or a general meeting.

Never hand this to AI

  • Having AI write the general meeting minutes: votes are copied from the attendance sheet and the ballots.
  • Uploading the list of owners in arrears or a litigation file to a free assistant.
  • Telling an owner a majority rule or a deadline to contest based only on a generated answer.
