AI training for auto repair shop owners

AI doesn’t diagnose a car or tighten a lug nut. It helps you at the counter and in the office: the repair order dictated, the quote explained to the customer, written approval for extra work, the service reminder, the used car listing.

What to check

You set the urgency of each repair: the assistant does not see the vehicle. The customer’s name and license plate are personal data: hide them before you attach the quote.

Explain a repair quote in plain wordsClaude · A PDF or a photo, in the conversation
  1. In Claude, click the + button and attach the quote as a PDF or a photo, after hiding the customer’s name, address, and license plate number.
  2. Paste the prompt below, stating yourself what is urgent and what can wait.
  3. Review each line: the explanation must say the same thing as your quote, no more, no less.
  4. Send the text to the customer with the quote, or read it to them at the counter.

The prompt to copy

Here is a repair quote for [a small 2016 gasoline car, 140,000 km]. Explain each line to a customer who knows nothing about cars: what the part does and what happens if it is not replaced, in two sentences at most, with no technical terms. Then sort the lines into three groups, following what I tell you and changing nothing. To do now, for safety: [front brakes]. To do within [three months]: [timing belt]. To watch: [bushings]. Do not change any price, do not add any repair, and do not comment on my diagnosis. Simple, calm, polite tone, without dramatizing.

Ground rules

The rules to follow with AI in this job

Always do this

  • Brakes, steering, tires, airbags, high voltage: the manufacturer’s data and your own checks come before an assistant’s answer. A torque spec is read in the original documentation.
  • The signed repair order and quote protect you and the customer. Any extra work requires written approval before it is done: keep a record of it.
  • A name, a phone number, a license plate number, and a vehicle’s history are personal data. Hide them before you attach a document to an assistant, and write only to customers who have agreed to it.
  • A used car listing commits you as a professional seller: mileage, history, and known flaws are written as they are.

Never hand this to AI

  • Tracking down a fault on the strength of an assistant’s answer alone, with no scan tool, no measurement, and no road test.
  • Having it choose a part number, a torque spec, a fluid quantity, or a safety procedure.
  • Having it dress up a listing, or replying to a review in a way that reveals anything about the customer.
