What to check

Maia is in beta. Every check uses one credit, even when there is nothing new: every 15 minutes, that is 96 credits per day. The hosting location, European Union or United States, is chosen when the workspace is created and can’t be changed afterward.

Build a scenario in MakeMake · Maia, in the scenario builder
  1. In Make, click “+ Create scenario” at the top right.
  2. In the chat with Maia, on the left, paste the prompt below. The paperclip icon accepts a photo of your sketch.
  3. When Maia asks for access, click “Create a connection” and connect a test account.
  4. Click “Run once” with a real example, check each bubble, then “Save” and “Activate scenario.”

The prompt to copy

Build a scenario to [goal in one sentence]. Trigger: [event], in [app]. Steps: [action 1], then [action 2], then [action 3]. Information to pass from one step to the next: [fields]. Add a filter to process only [condition], and a router: if [case A], then [path A], otherwise [path B]. Set the check to [once an hour]. Explain each step as you go, ask me your questions before connecting an account, and tell me how many credits this scenario will use per month for [number] triggers.

The tools

AI tools for automation specialists, and what they cost

Make

Free to start

The visual builder where you spend your days. The Maia assistant lays out the steps from a description, edits an existing scenario, and explains an error.

Recommended planFree, $0: 1,000 credits per month and 2 active scenarios. Maia requires a paid plan, after a 30-day trial: Core, $10.59 per month for 10,000 credits ($9 per month if billed yearly).

Zapier

Free to start

For the simple automation a coworker has to be able to take over alone: one trigger, one action, and Copilot builds the Zap from a sentence.

Recommended planFree, €0: 100 tasks per month, two-step Zaps. Then: Professional, €26.77 per month for 750 tasks (€17.85 per month if billed yearly).

n8n

For when data must not leave the company, or when volume would drive up the bill: you host it yourself, and it counts executions, not steps.

Recommended planStarter, €24 per month (€20 per month if billed yearly), after a 14-day trial. Self-hosted: Community edition, €0.

Airtable

Free to start

The base where your automations’ data lives. Omni creates the tables and the fields from a description, without using credits.

Recommended planFree, $0: 1,000 records per base and 100 automation runs per month. Then: Team, $20 per user per month, billed yearly ($24 billed monthly).

Tally

Free to start

Recommended planFree, $0: unlimited forms and responses under normal use. Pro, $24 per month, to remove the Tally branding.

Claude

Free to start

Outside the tools: turning an error message into plain language, and writing the handoff document for the team that takes over the automation.

Recommended planFree to start. Pro, $20 per month ($17 per month if billed yearly), if you use it every day.

Prices taken from the vendors’ official pages, dated on each tool page. These subscriptions are not included in Nova. Brands are named to identify the tools. No affiliation.

Ground rules

The rules to follow with AI in this job

Always do this

  • Connecting an app means giving access to its data. Connect only what is necessary, with a dedicated account rather than your personal one, and with the IT team’s approval.
  • An automation processes personal data continuously. Know where it goes: Make lets you choose the European Union when the workspace is created, Zapier stores data in the United States, n8n can run on your own server.
  • A test is not a simulation: it sends a real message or creates a real row. Test against a test spreadsheet and a test inbox, with made-up data.
  • Count before you activate. In Make, every check costs one credit. In Zapier, every successful action counts as one task. In n8n, the full run is what counts.

Never hand this to AI

  • Letting an agent send a message, pay, or delete data without human approval.
  • Pasting an API key or a password into a prompt, a screenshot, or a handoff document.
  • Automating a decision that affects a person: rejecting a job application, a refund, or a claim.
