AI training for building contractors

AI doesn’t hold a tool. It helps with what gets done in the evening: the scope of work for the quote, the reply to the customer, the invoice, the payment reminder, the letter from the insurer. The trade, the prices, and the signature stay yours.

What to check

The quantities, the prices, and the VAT rate stay yours: a signed quote commits you. Keep the mandatory information from your usual template, and don’t photograph any person or any of the customer’s documents.

Write a quote’s scope of work after the visitClaude · On your phone: dictation and photos
  1. As you leave the visit, open Claude on your phone. Tap the microphone icon in the message box and dictate what you saw: rooms, dimensions, condition, the customer’s requests.
  2. Tap the + button, then “Add files or photos,” and attach the photos of the job site.
  3. Paste the prompt below and send. Answer the questions it asks.
  4. Copy the lines into your quoting software, then set the final quantities, the prices, and the VAT yourself.

The prompt to copy

You are helping me prepare a [plumbing, electrical, painting] quote for a homeowner. From my dictated notes and the photos, write the scope of work, item by item: a description that is clear for a customer, the quantity and the unit (m², linear meter, each, lump sum), with no prices at all. Add the prep work and the finishing work I may have forgotten, marking them “to be confirmed.” At the end, list the information you are missing and the questions to ask the customer. Don’t make up any dimension.

Ground rules

The rules to follow with AI in this job

Always do this

  • A signed quote commits you. Quantities, prices, VAT, lead times: you set them and you check them. AI only does the formatting.
  • Trade standards, building codes, and manufacturers’ instructions come before an assistant’s answer. For electrical, gas, structure, or waterproofing, always check in the text or with the manufacturer.
  • A customer’s address, contact details, and photos of their home’s interior are personal data. Ask for their consent before publishing, and show no face, address, or license plate.
  • Subsidies and VAT rates change often. Point the customer to the official page, and don’t write any subsidy amount on a quote without having checked it.

Never hand this to AI

  • Having an assistant calculate a cable size, a load, or a slope without recalculating it to the standard.
  • Publishing fake reviews, or an AI-made image presented as one of your jobs.
  • Letting a quote, an invoice, or a transfer prepared by an agent go out without rereading the confirmation screen.
