AI training for florists

AI doesn’t arrange a bouquet or pick a flower at the auction. It takes on the writing and the math around them: a wedding proposal, the price of an arrangement, the photos, the messages for the big holidays.

What to check

Reading a photographed invoice can get a line or a stem count wrong: check the prices it pulled. The markup and the final price remain your decision. Have your accountant confirm the VAT rates.

Calculate the price of an arrangementClaude · Excel file, in the conversation
  1. Photograph your wholesaler’s latest invoice, lying flat, or note the purchase price of each bunch.
  2. In Claude, click the + button at the bottom left of the message box, attach the photo, then paste the prompt below.
  3. Download the Excel file and check with a calculator the per-stem prices pulled from the invoice.
  4. Change the number of stems in the file to see the price move. Keep one tab per everyday arrangement.

The prompt to copy

I’m a florist. Here is my wholesaler’s invoice. Give me an Excel file that calculates the cost of this arrangement: [name], with [5 roses, 3 ranunculus, 4 stems of eucalyptus, etc.]. Pull the purchase price excl. tax of each stem from the invoice, dividing the price of the bunch by the number of stems. Add the supplies: [paper, raffia, floral foam, container, card], at [amount], [15]% waste on the flowers, and [10] minutes of labor at €[hourly cost] per hour. Give the cost, then the selling price incl. tax with my markup multiplier of [3] on the flowers, VAT at [rate]. Put each price in a cell I can change, keep the formulas visible, and flag the invoice lines you couldn’t read.

Ground rules

The rules to follow with AI in this job

Always do this

  • A photo must show the arrangement the customer will receive. Changing the background, yes. Adding flowers, or changing a color or the volume, no.
  • Flowers depend on the season and on what comes in: an assistant doesn’t know the day’s market prices. Write “subject to availability” and check every variety it suggests.
  • A price calculated by an assistant gets recalculated by hand on one arrangement before it is displayed or written in a quote.
  • Sympathy, weddings, births: your orders touch on private life. No name, no delivery address, no card message in a consumer assistant.

Never hand this to AI

  • Showing a couple AI-generated bouquets, or photos taken at another florist’s, as if they were your own work.
  • Asking an assistant whether a plant is safe for a child or a pet: refer people to a poison control center or a veterinarian.
  • Reusing contact details left for a sympathy order for your marketing messages.
