AI training for caterers

AI doesn’t cook and doesn’t set up a buffet. It takes on the writing and the math around each event: the proposal, the cost per guest, the quantities to order, the run sheet for the day.

What to check

Only mention another request for the same date if it really exists. Check the dates again before sending.

Follow up on a quote left unansweredChatGPT · “Chat” mode
  1. Note the essentials: the type of event, the date, the day the proposal went out, how long you’re holding the date.
  2. In ChatGPT, in “Chat” mode, paste the prompt below.
  3. Choose the version that sounds like you and add a personal sentence about your conversation with the client.
  4. Send it from your email, and note the date of the next follow-up on your calendar.

The prompt to copy

I’m a caterer. I sent a proposal [ten days] ago for [a wedding for 120 people] planned for [date], and I haven’t had a reply. I’m holding the date until [deadline]. Write a follow-up email of six lines at most: I ask whether the proposal arrived, I offer [a call, a tasting] to adjust it, and I simply say how long the date stays reserved. Warm tone, no pressure, and no sales language. Also suggest a two-sentence text message version, and a final message to send on the deadline to release the date gracefully.

Ground rules

The rules to follow with AI in this job

Always do this

  • Allergens and diets: AI organizes your information; it doesn’t validate any dish. The allergen list is checked against your suppliers’ labels and spec sheets. A mistake puts a guest in danger.
  • Every price, quantity, and margin calculated by an assistant gets recalculated by hand on one row, before you send a quote or place an order.
  • The quote is binding on you: prices, services included, deposit, and cancellation terms must be accurate. Have a legal professional review your terms of sale.
  • Client contact details, guests’ diets and allergies: this is personal data, sometimes health data. Keep only what’s necessary, for the duration of the event.

Never hand this to AI

  • Asking it for hygiene rules, temperatures, or storage times: refer to your food safety plan and the official regulations.
  • Having it say whether a dish is suitable for a person with an allergy.
  • Hiring event staff or drawing up a contract without checking the collective bargaining agreement and labor rules.
