What to check

Reveal nothing about the stay in your reply: not the dates, not the room, not who was traveling with the guest.

Reply to guest reviewsChatGPT · “Chat” mode
  1. Copy the review, without the guest’s name.
  2. In ChatGPT, in “Chat” mode, paste the prompt below, then the review.
  3. Ask for “shorter” or “less defensive” until the reply sounds like you.
  4. For a hurtful review, wait an hour, reread it, then post it on the platform.

The prompt to copy

I run [a hotel with … rooms, a guesthouse] in [place]. Here is a review left on [platform]. What happened on my side: [your version, in two sentences]. What has been fixed since: [what was done, or nothing]. Write a five-line public reply, in the language of the review: thank the guest for one specific point in the review, acknowledge what is true, calmly correct what is inaccurate without accusing, say what has changed, invite them to come back or to write to me. Write for the future guests who will read the exchange. No irony, no stock phrases, and nothing that could identify this guest: no dates, no room, no companions. Review: [paste the review].

Ground rules

The rules to follow with AI in this job

Always do this

  • Name, ID, contact details, dates of stay, companions: your guests’ data is personal. Remove it before pasting a message or an export into an assistant.
  • Your listing is binding on you: amenities, distances, star rating, accessibility, displayed price. Write only what is accurate on the day of arrival.
  • The assistant sees neither your calendar nor your rates for the day: check an availability and a price in your software before sending them.
  • A translated safety instruction, allergy, or time gets reviewed by someone who speaks the language.

Never hand this to AI

  • Having fake reviews written, or replying to a review in a way that reveals a detail of the guest’s stay.
  • Uploading the guest register, the police registration forms, or a photo of an ID to an assistant.
  • Letting an assistant set your prices on its own or confirm a booking for you.
