What to check

Reveal nothing about the customer in a public reply: not their name, not their reservation, not what they ordered. And never have fake reviews written.

Reply to online reviewsChatGPT · “Chat” mode
  1. Once a week, copy the new reviews from your online listing or your reservation tool, without the customers’ names.
  2. In ChatGPT, in “Chat” mode, paste the prompt below, then the reviews.
  3. Reread each reply. Ask for “shorter” or “less defensive” if needed.
  4. Post the replies one by one, under each review.

The prompt to copy

I run [type of restaurant] in [city]. Here are the reviews we received this week. For each one, write a reply of three to five lines, signed [first name]. Positive review: say thank you and mention one specific detail from the review, with no phrase copied from one reply to the next. Negative review: acknowledge what is true, explain without making excuses, and say what we have changed or offer to talk about it at [phone or email]. What happened on our side for the negative reviews: [your version]. No irony, no personal details about the customer, a polite and respectful tone. Reviews: [paste the reviews].

Ground rules

The rules to follow with AI in this job

Always do this

  • Allergens: AI prepares a draft, and you confirm every cell with your suppliers’ labels. An error puts a guest in danger.
  • The words on your menu are commitments: origin, protected designation, “house-made,” “fresh.” Write only what is true and verifiable.
  • A cost, a margin, or a price calculated by an assistant gets recalculated by hand on one dish before any decision.
  • Phone numbers, email addresses, reported allergies: these are personal data. Only message customers who agreed to it, and keep only what you need.

Never hand this to AI

  • Having fake reviews written, or posting a reply that reveals what a customer ordered or said.
  • Asking an assistant for hygiene rules, temperatures, or storage times: rely on your food safety plan and the official regulations.
  • Drawing up an employment contract or a schedule without checking the collective bargaining agreement: working hours, rest periods, split shifts.
