Always do this

  • A number that comes out of an assistant is always tied back to a known total before it is shared: revenue, net income, headcount.
  • AI offers possible explanations, not causes. The cause is confirmed with the operations manager.
  • Budget, margins by customer, payroll: these files stay in the company’s business workspace. Anywhere else, remove the names.
  • Keep formulas visible and assumptions in a separate tab: a calculation no one can check won’t hold up in committee.

Never hand this to AI

  • Presenting a variance comment you haven’t checked with the manager in charge.
  • Uploading salary details, or the customer list with margins, to a free tool hosted outside Europe.
