AI training for local government employees

AI knows neither your local government nor its practices, and it doesn’t state the law. It prepares the first draft of a letter, a memo, or a resolution, finds a rule in your texts, and cleans up meeting notes. The elected authority decides and signs.

What to check

No personal data in the assistant: no name, no address, no family or social situation. Simplifying must not change the scope of the decision: reread the reason and the appeal options. On the free plan, opt out of training in the privacy settings.

Reply to a resident in plain languageMistral Vibe
  1. On chat.mistral.ai, summarize the request and the department’s answer, with no name, no address, and no case number.
  2. Paste the prompt below, filled in.
  3. Check that the meaning hasn’t shifted: reason, deadline, appeal options. Have your manager review it if the answer is a denial.
  4. Copy the text into your local government’s letter template, and add the personal details by hand.

The prompt to copy

You are helping me write a reply from a [city hall] to a resident. Their request: [for example a school zone exemption, a spot in an after-school program, the removal of illegally dumped waste]. The department’s answer: [approval, denial, missing documents], and its reason: [the reason, with the applicable law or regulation]. Write a letter of fifteen lines at most, in plain language: the answer in the very first sentence, the reason explained simply, what the person can do now, the deadlines and appeal options as I stated them. Short sentences, no bureaucratic jargon, a respectful tone. Don’t add any legal rule I didn’t provide, and leave the personal fields blank.

Ground rules

The rules to follow with AI in this job

Always do this

  • Resident data: vital records, family or social situation, taxes, planning or assistance files. Nothing that names a person in a consumer assistant.
  • Professional secrecy and discretion also apply to what you type: an unpublished internal document doesn’t leave the tools approved by your local government.
  • Follow the framework your local government has set for authorized tools, and involve the data protection officer before any new use.
  • The assistant doesn’t state the law and decides nothing: every legal text gets checked at the source, and the elected authority signs.

Never hand this to AI

  • The individual file of a resident or an employee: social assistance, vital records, school enrollment, career, discipline.
  • The bids received for a contract, their analysis, or their ranking.
  • An individual decision made in your place: awarding assistance, a spot, or housing, or denying a request.
