AI training for social workers

AI does not assess a situation and does not decide on any assistance: that is your job. It finds a rule in a benefit scale, explains a letter in plain words, translates information, and prepares your templates. No client data goes into a consumer tool.

What to check

It only knows what you upload: check that each set of regulations is the version in force. Ask a general question, never a real person’s situation. For an internal memo, get your supervisor’s approval before uploading it.

Find a rule in an aid fund’s regulationsGemini Notebook · “Chat” panel
  1. Gather the reference texts as PDFs, in their latest version: the local social assistance regulations, the housing assistance fund’s regulations, the benefit agencies’ guides.
  2. Create one notebook per topic, for example “Housing” or “Financial assistance.” In the “Sources” panel, click “Add” and drop in the documents.
  3. In the “Chat” panel, paste the prompt below, with a general question.
  4. Click the number of each citation to read the original passage before you talk to the person about it.

The prompt to copy

Using only the sources in this notebook, what do these documents provide for [the question: for example the conditions for security deposit assistance, the documents to attach to a financial assistance application, the appeal deadline after a denial]? Give the conditions, the limits, the documents required, the deadlines, and the body that decides, in the order they are written. Cite the document, its date, and the page for each point. If two documents do not say the same thing, show both passages. If the sources do not address the question, write “not covered” without inferring anything.

Ground rules

The rules to follow with AI in this job

Always do this

  • Professional secrecy: in France, the law binds you to it. No name, no address, no benefit recipient or social security number, no recognizable account of a situation in a consumer tool.
  • AI does not assess a situation, does not suggest a referral, and does not decide on any assistance. It formats, explains, and finds: the social assessment remains yours.
  • A benefit, a limit, or a deadline is checked at the source: the official text, the program’s regulations, the agency concerned. An assistant can state an outdated amount with confidence.
  • Follow your employer’s rules on approved tools, and involve the data protection officer before any new use.

Never hand this to AI

  • Describing a person’s or a family’s situation to it to ask for an assessment, a referral, or the next step.
  • Uploading a social work report, a child protection report, an ID, a tax notice, or a letter addressed to a named person to an online tool.
  • Having it write the conclusion or the recommendation of a report: that document engages your responsibility and your department’s.
