AI training for mayors and local officials

AI doesn’t know your town and doesn’t decide anything. It helps you read the council packet, prepare a speech or a public meeting, and understand a new legal text. You remain the voice and the signature of the town.

What to check

It only knows what is in the packet: it replaces neither the committee nor a question put to staff. Don’t upload an appendix that names people: assistance, personnel, litigation. An audio summary can distort a figure: check in the document.

Prepare the council meetingGemini Notebook · “Chat” panel, then “Audio Overview”
  1. Create a notebook named after the meeting. In the “Sources” panel, click “Add” and upload the meeting notice, the summary memos, and the appendices as PDFs.
  2. In the “Chat” panel, paste the prompt below.
  3. Click the number of each citation to read the original passage, and write down your questions.
  4. In the “Studio” panel, start an “Audio Overview” to listen to the key points again on the road.

The prompt to copy

Using only the sources in this notebook, prepare me for the town council meeting of [date]. For each draft resolution: the subject in one sentence, what the council has to decide, the amount committed and the budget line when they are stated, and what changes from the current situation. Then flag, for each item, what the packet doesn’t say and a council member should ask: full cost, timeline, other options considered, committee opinion. Cite the document and the page for every figure. End with the [three] resolutions that commit the town the most, and why.

Ground rules

The rules to follow with AI in this job

Always do this

  • Residents’ data: vital records, social assistance, zoning and planning, voter rolls, neighbor disputes. Nothing that names a person in a consumer assistant.
  • You sign and you answer for everything: an order, a resolution, or a letter prepared by an assistant is checked with the town clerk’s office, the prefecture, or your association of local officials.
  • The assistant doesn’t state the law and gets a figure wrong with confidence: read every text at the source, and take every amount from the budget documents.
  • Town hall files and resources serve the town, not an election campaign: the rule applies with an assistant too.

Never hand this to AI

  • A named resident’s situation: a request for assistance, housing, a neighbor dispute, a planning application.
  • A decision made in your place: awarding a contract, a grant, or a housing unit, or settling a vote.
  • A fabricated image or quote that depicts a real person, opponent or ally.
