What to check

An application commits the organization: no attendance figure and no result you cannot back up. Remove the names of beneficiaries and named salaries from the documents you upload. The budget is recalculated by hand.

Put together a grant applicationClaude · “Projects”
  1. In Claude, click “Projects” in the left sidebar, then “+ New project.” Name it “Grants.”
  2. Add the rules of the call for proposals, your last activity report, your strategic plan, and the budget for the program.
  3. Open a conversation in the project and paste the prompt below.
  4. Correct anything false or embellished, copy the answers into the funder’s form, then have a member of the executive committee review it.

The prompt to copy

Using the project documents, help me respond to the call for proposals from [the funder] for our program [name and two-line description]. First read the rules and list the eligibility and selection criteria, with the page, saying for each one whether our program meets it according to our documents. Then write the answers to the sections of the form: [presentation of the organization, description of the program, target audience, goals, resources, timeline, evaluation], in [1,500] characters at most per section. Rely only on our documents: where a figure or a fact is missing, write [to be completed] instead of making it up. End with the list of documents to attach.

Ground rules

The rules to follow with AI in this job

Always do this

  • Data on members, volunteers, and beneficiaries: GDPR applies to nonprofits too. No list of names, no beneficiary record, and no bank statement in a consumer assistant.
  • A grant application commits the organization: every figure and every program announced is checked, and the authorized person signs.
  • The bylaws are the authority on the quorum, proxies, notice periods, and majorities. The assistant knows them only if you give them to it, and it can misread them.
  • Write only to people who have agreed to receive your messages, and always keep an unsubscribe link.

Never hand this to AI

  • Having it invent a number of beneficiaries, a result, or a testimonial to embellish a report.
  • Uploading the member or donor file to an online tool to sort or analyze it.
  • Asking it to settle a question of employment law, the tax treatment of donations, or directors’ liability: see your accountant, your federation, or a lawyer.
