  1. Reread your notes from the last one-on-one and what has happened since. Replace the first name with “my team member.”

  3. Keep three or four questions, the ones you would not have asked on your own.
  4. After the one-on-one, note in two lines what was said and what you promised: that is the material for the next one.

The rules to follow with AI in this job

Always do this

  • Information about your team members is personal data: no names, health, private life, or named evaluations in a consumer assistant. Write “a team member” and use the workspace your company has approved.
  • Evaluating, disciplining, giving a raise, promoting: these decisions are yours, based on facts you have observed. AI helps you prepare, never judge a person.
  • Tell the team before any automatic note-taking, and never in a one-on-one without clear consent.
  • What you send under your name gets reread: a message to the team written by AI and not reread is easy to spot, and it damages trust.

Never hand this to AI

  • Having AI write a team member’s performance assessment, or asking it who deserves a bonus.
  • Monitoring or rating the team’s activity with an AI tool, without the company’s approval and without informing the employee representatives.
  • Delivering bad news to someone through a generated message, instead of talking to them.
