Always do this

  • A supplier’s bid is confidential. It goes in the company’s business workspace, or without the supplier’s name. Never in a free tool that trains on your texts.
  • Every price taken from an assistant gets checked against the original quote before it goes into a comparison.
  • Information found on the web (a supplier’s size, certification, or financial health) gets confirmed with the supplier, with supporting documents.
  • AI informs the choice; it doesn’t make it. The award is justified with your criteria, written before the RFQ.

Never hand this to AI

  • Uploading a supplier’s named bid to a personal assistant account.
  • Having a contract or purchasing terms drafted by an assistant signed without legal review.
  • Ruling out a supplier on the strength of an automated search alone.
