AI training for sales engineers

AI doesn’t run the demo for you. It breaks down the requirements document, finds your past answers, writes the workshop notes, and prepares the first draft of the proposal, so your time goes to the solution and the customer.

Claude for sales engineers: break down an RFP’s requirements, step by step

  • 20 min
  • every week

What to check

A requirements document is often covered by a confidentiality agreement: use the company’s Team or Enterprise workspace, not a personal account. Claude can skip a requirement in a long document. The table doesn’t replace your own reading of the chapters that matter.

Break down an RFP’s requirementsClaude · Attached file, then an Excel file to download
  1. Open claude.ai. Click the + button at the bottom left of the message box and attach the requirements document, as a PDF or a Word file.
  2. Paste the prompt below and send it.
  3. Open the Excel file it offers. The “Coverage” column is empty: filling it in is your job, with the product team.
  4. Check ten rows at random against the original document, then go through the table of contents to make sure no chapter is missing.

The prompt to copy

You are helping a sales engineer prepare a response to an RFP. We make [your solution, in one sentence]. Read the attached requirements document and give me an Excel file with one row per requirement: number, page or paragraph, exact text of the requirement, type (functional, technical, security, contractual), whether it is mandatory or desired, and a “Coverage” column left empty. Don’t decide for me whether we cover a requirement. Add a second tab with the key dates, the scoring criteria, the deliverables requested, and the ambiguous points to raise in a written question to the buyer. Always give the page.

Ground rules

The rules to follow with AI in this job

Always do this

  • A customer’s requirements document, diagrams, and data are most often covered by a confidentiality agreement. Use the company workspace your employer has approved, never a personal assistant account.
  • An RFP response binds the company like a contract. Every “yes” written by AI gets checked with the product team before it is sent.
  • Present as available only what is available today. A planned feature is called planned, with due caution about dates.
  • Tell the attendees and get their consent before any automatic note-taking during a workshop or a demo.

Never hand this to AI

  • Letting AI check “compliant” in a requirements table: you are the one who knows what the solution really does.
  • Pasting a security questionnaire, a network diagram, or a set of real customer data into a consumer assistant.
  • Settling pricing, discounts, and timeline commitments in a chat with an assistant: those are decided with the sales rep and leadership.
