AI training for travel agents

AI knows neither your ground operators nor your clients. It prepares the outline of a tour, compares brochures, translates your exchanges with partners abroad, and lays out the travel booklet. Prices, availability, and entry requirements always get checked at the source.

What to check

An assistant easily invents a driving time, a ferry schedule, or a hotel that has closed. Nothing in this outline goes to the client without being checked with your suppliers.

Build the outline of a custom tripChatGPT · “Chat” mode
  1. Open ChatGPT and stay in “Chat” mode. Paste the prompt below with the client’s request, without their name.
  2. Read the outline the way the client would. Too much driving in one day, one stop too many? Ask: “Lighten day 4” or “Add a free day.”
  3. Check every travel time, every schedule, and every closing day with your ground operators or on the official websites.
  4. Replace the suggested accommodations with those of your suppliers, then price it in your usual tool.

The prompt to copy

You are helping a travel agent build a custom trip. Travelers: [two adults and two children aged 8 and 11]. Destination: [country or region]. Dates: from [date] to [date], that is [12] nights. Budget: [amount], excluding flights. What they like: [nature, easy walks, few museums]. What they don’t want: [more than three hours of driving per day, changing hotels every night]. Suggest a day-by-day outline in a table: stop, estimated travel time, two possible activities, type of accommodation. Explain the logic of the route in three lines and flag what depends on the season. Don’t give any prices, and write “to verify” next to every schedule or property name you aren’t sure of.

Ground rules

The rules to follow with AI in this job

Always do this

  • The information you give the traveler commits you: entry requirements, prices, included services. Every item written by AI gets checked at the official source or with the supplier before it goes to the client.
  • A booking file contains personal data, sometimes sensitive: passport, date of birth, health, disability. None of it goes into a consumer assistant. Describe the need without naming the traveler.
  • Availability and rates are read in your booking tools and with your suppliers. An assistant doesn’t know them, even when it states them.
  • A price advertised in a newsletter or in the window must be accurate, dated, and say what it includes.

Never hand this to AI

  • Telling a client about an entry requirement, a vaccine, or a visa processing time on the strength of an AI answer alone.
  • Giving it a passport copy, a list of travelers, or a medical certificate.
  • Letting it decide on a refund, a goodwill gesture, or the admission of a failure.
